 You have seen the benefits of the cloud. The increased flexibility and openness it offers, along with the savings  in software expense, are just a few of the many benefits.

But you are unsure how to make the transition to the cloud for your HR processes from your current operating system. What is the best way to go about it, without causing confusion?

The first thing to do is form a team that will plan for the change. It should be composed of people from different departments in the company, so that everyone will be represented. The team will be responsible for creating the request for proposals, reviewing the IT vendors, and setting up a time frame for the testing and start up of the new system.

You also need to get everyone on the same page with regard to HR processes, such things as performance reviews and expense reports. When you make the move to the cloud platform, if people are not following uniform company procedures, it will make training and implementation that much more difficult.

When you are looking at the cloud technology, focus on the software that will help you to solve your particular HR problems. Ignore all the fancy extras companies may try to sell you if they don’t relate to your particular needs.

Don’t try to do too much too fast. You may only create confusion if you try to change everything all at once. A phase-in approach will work best.

Don’t try to cut corners on training – it will only cause more problems later when you try to implement the new program. One company held 30 webinar training sessions for its employees, and the cloud vendor held another 30 webinars for additional staff. Those who missed the webinars could see recorded sessions, watch training videos included in the software, ask managers for help, or ask questions online. After the changeover to the new software,  most of the complaints about it came from people who hadn’t taken any of the training sessions.

And finally, you want your current IT vendor and your IT department to work together with the cloud vendor on the changeover to the new technology.
